Meeting Manners To Keep In Mind

Are you among those bosses who take meeting with their staff and none of the employees care about it?
While organising a meeting or participating in one, we have to make sure we don't make others uncomfortable with our behavior. Certain meeting etiquettes are necessary to make all participants comfortable and allow proper participation and a smooth flow of ideas. Here are some meeting manners you must keep in mind.

When you are the host:

  • Make sure that all important people are invited. Recheck and confirm it in advance with everyone if they all received invitations and would join or not.
  • Decide on your sitting location beforehand. You should be seated properly so as to interact with all the participants. This is one basic meeting manner you must keep in mind.
  • Organize your material in advance. Gathering important documents, analyzing data, saving everything in a file in your computer etc. should be done at least one week before the meeting.
  • Remember the main objective of the meeting and be specific to the points you want to convey. Make points in advance to avoid any blunder. This is one basic meeting manner you must keep in mind.
  • Don't get distracted while addressing participants. Stay focused and to the point to get best outcome of the meeting.
  • Once you are done with your part, then allow everyone else to express their views and expect disagreements with your points too. Always be ready for rectifications. This is one basic meeting manner you must keep in mind.

When you the participant:

  • Dress properly. Always read the invitation carefully and decide on your dress accordingly.
  • Know the aim of the meeting and study about the subject in advance.
  • Try to get there at least 10 minutes ahead of the meeting time. If you arrive late, quietly take a seat.
  • Always switch off your mobile during a meeting or put it on silent. This is one basic meeting manner you must keep in mind.
  • Never interrupt anyone. When you have to say something about the subject, let others finish first and put your point forth.
  • Even if you disagree with others' point; first listen to them properly and then express your opinion in a polite manner.
  • While making a point, do not go on and on. Be precise. Try to be direct, come to the point and end your comment.

These are few meeting manners or rather etiquette to keep in mind.
